The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contact details  and characteristics including for example, name, job title, organisation, business address, email address, phone number,  web address and other contact details.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you. Processing is necessary for the conclusion or performance of a contract with our customers including to:

  •        Initiate, facilitate and operate contractual business relationships between CITC and either yourself directly or with the organisation that you represent.
  •         Inform CITC about the services you or your organisation supplies or requires as a part of your contractual relationship with CITC  and other clients and/or suppliers to CITC.
  •       Enable CITC to devise and  arrange contracts between you or  your organisation and CITC and/or other CITC clients and suppliers.
  •       Store financial information such as bank account details and credit and debit card information for receipt of payments and/or billing  if you contract with us as an individual.

We do not collect any Special Categories of Personal Data (e.g. details about your  ethnicity, beliefs, sexual orientation, political opinions, union membership,  health or genetic/ biometric data).

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Publicly available contact information that you have released or has been provided to other sources of contact information such as operators of web sites, business directories, trade organisations, exhibition and conference organisers and attendees of same.

The purpose and use of processing information received indirectly is the same as for information acquired directly from you.

We may share this information with other members of our group of clients, suppliers and partners for the above stated reasons.  Due to the international nature of our business these parties may be located outside of the EU. Any information communicated to such parties shall only be communicated on condition that its use is restricted to the above stated purposes.

Under the Data Protection (Bailiwick of Guernsey) Law 2017, the lawful bases we rely on for processing this information are:

How we store your personal information

Your information is securely stored at our premises in Guernsey.

We may keep your information for a period of up to ?? years from its last time of use or updating. The retention period is set so that we can meet our contractual, accountancy and governance obligations. We dispose of your information by deleting your entries in our systems and shredding any paper records or business cards containing your information.

If we are unable to process your information we will be unable to enter into a business or contractual relationship with you.

Your data protection rights

Under data protection law, you have rights including:

Access – You have the right to ask us for copies of your personal information.

Rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Erasure – You have the right to ask us to erase your personal information in certain circumstances.

Restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Objection to processing – You have the right to object to the processing of your personal information in certain circumstances.

Data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
